How automation of disk clean-up eliminated an organisation’s server crashes and outages

Background

Our client was a large organization whose data resided on thousands of servers. Crucial to the business running smoothly was ensuring that there was enough free disk space for the apps and programs to function without outages. The IT team’s manual disk clean-up process was repetitive, time-consuming and error-prone due to the sheer volume of data involved.

Challenges

In order to process more files on the system and prevent server crashes the client needed regularly scheduled disk space clean-up.

The IT team did this manually which involved a series of complicated and time-consuming tasks. For example:

Uninstall unnecessary apps and programs

Clean desktops

Get rid of monster files

Use the Disk Clean-up tool

Delete temporary files

Manage downloads

Save to the cloud

In order to process more files on the system and prevent server crashes the client needed regularly scheduled disk space clean-up.

The team had to write multiple disparate scripts which often became unmaintainable. Human error was unavoidable in such circumstances and the time spent on disk clean-up was not efficiently used.

Solution

Our team of RPA experts developed a workflow and a new TO-BE process.
An RPA BOT was trained:

to read input disk name, drive location and calculate the used or free space for the given disk

to detect low disk space and proceed to delete, archive, or move the logs or temporary files to a different location

This automated process was designed to be scheduled at regular intervals or to be activated when certain data limits were reached

Outcome

Our BOT completely automated the organization’s disk clean-up process. It eliminated errors, handled exceptions efficiently and improved business performance. The new automated process was trigger-based to act upon any server.
