Background

Our client was a large business process outsourcing (BPO) organization operating in multiple locations. A large number of new employees were joining the organization every day, and the HR team’s manual onboarding processes bogged down both the IT and HR teams.

Challenges

The HR and IT teams often worked from different locations and manually performed their tasks on disparate systems. This caused:

Turnaround time of 7 days

Errors and non-standard email id creation

Inefficient use of manpower with 4 people working in shifts on the IT team

The IT team had to manually fill in new employee details in an Excel document for further processing; create an employee account in Active Directory, email id an Office 365 account; and forward the email id and password to new employees.

Solution

Log in to and create the account in Active Directory

Create email ids on internal domain for full time (on roll) employee or on Rediffmail for contractors (off roll)

Create the employees’ Office 365 account

Outcome

Our unattended BOT completely automated the organization’s onboarding process. Web Services API replaces the Excel documents the organization previously used. As a result, the organization hit all its onboarding goals.
